4.3 – Automation Rules

Automation Rules link the Panel to Teams. When a Demand enters a Panel phase, that phase’s rules create an Activity in each Team indicated, from an Activity template of that Team. When they fire, you choose which rules to run and whether each Activity goes to the open Sprint or to the Backlog. This way, progress on the Panel triggers the Teams’ work, with no manual entry.

Before you start

The Activity template must exist in the target Team, under Backlog → Templates (see 3.2.3), already with the tasks the Activity should bring.

How to create a rule

  1. With the Panel selected, open Resource → Settings.
  2. In the Phases list, open the menu of the phase that should trigger the rule and choose Open Phase.
  3. In the Edit Phase window, open the Rules tab and click + Rule.
  4. Choose the target Team and the Activity Template, and click Confirm.
  5. Click Confirm in the Edit Phase window to save.

A phase can have several rules; each creates its own Activity. To change or remove a rule, use the menu next to it (Open or Delete).

What happens when the rule fires

When a Demand enters a phase that has rules, BeePlus opens the Run rules window, with one row per rule of the phase: the Activity Template and the target Team.

  • Which rules to run: tick the rules to run for this move. The Choose the rules to run box ticks or clears them all.
  • Where each Activity goes: with the Include in sprint switch on, the Activity goes into the Team’s open Sprint, straight onto the Team Board; with it off, it goes to the Team’s Backlog. The Include all switch turns them all on or off at once.

Click Confirm to create the ticked Activities; the Team then works on each Activity as usual. Cancel keeps the Demand in the new phase but runs no rules.
